Insight K9 Solutions LLC (“Insight K9,” “we,” “us,” or “our”) respects your privacy. This policy explains how we handle personal information through insightk9solutions.com, our booking and client tools, forms, messages, and dog-training services.
This policy is meant to be read, not hidden in legal jargon. Please contact us if you have a question about a specific practice.
Scope and who we are
This policy applies when you visit our website, ask about services, request or book training, create or use a client account, submit information about a dog, communicate with our team, or otherwise interact with Insight K9 Solutions.
Insight K9 provides private dog-training services in Washington. This policy does not control the independent privacy practices of websites or services we do not operate.
Information we collect
The information we collect depends on how you interact with us.
Contact and account information
This may include your name, email address, phone number, account login details, communication preferences, and any other information you choose to provide.
Booking and service information
This may include the service, trainer, location, requested or confirmed dates and times, appointment history, cancellation or rescheduling details, Board & Train request information, and notes needed to prepare for or provide service.
Dog and training information
This may include a dog’s name, age, breed, photo, behavior history, bite or reactivity history, training goals, the dog’s current injury or activity restrictions, service or working-dog details, and other information you provide so our trainers can understand the dog and plan appropriately.
Consumer health data
If information about a service-dog task, handler accommodation, functional need, or related communication reveals or concerns a person’s health or disability, our separate Consumer Health Data Privacy Policy describes the information, purposes, sources, processors, rights, and request process that apply.
Messages and records
We may collect messages, emails, text-message status and consent records, form submissions, call notes, client-portal activity, trainer notes, feedback, and other communications connected with your services. When you accept terms or acknowledge a policy in a booking or request form, we may also retain the acceptance date, related booking or request, policy version, and the text presented to you.
Payment and transaction information
If you pay through an online payment option or receive an electronic invoice, the payment provider may collect card or bank information directly. We generally receive limited transaction details such as payment status, amount, date, and a transaction reference—not a complete payment-card number.
Website and device information
When you use the website, we and our service providers may automatically receive information such as IP address, browser and device type, operating system, approximate location derived from IP address, referring page, pages viewed, links selected, and timestamps. Cookies and similar technologies may also collect preference, security, and analytics information.
How we use information
We use personal information as reasonably necessary to:
- Respond to questions and recommend appropriate training services.
- Process booking or Board & Train requests and manage appointments.
- Prepare for, provide, document, and improve dog-training services.
- Create and maintain client, dog, booking, and training records.
- Document electronic agreement, policy acknowledgment, and the version presented with a booking or request.
- Operate account login, client-portal, trainer, scheduling, and website functions.
- Send confirmations, reminders, schedule changes, service messages, and requested responses.
- Process or document invoices, payments, refunds, and related transactions.
- Protect clients, dogs, staff, accounts, and our systems from misuse, fraud, or security threats.
- Analyze and improve website performance, accessibility, and user experience.
- Comply with legal obligations, enforce agreements, and establish or defend legal claims.
- Send educational or promotional communications when permitted and consistent with your choices.
Booking, client tools, and training records
Insight K9 Connect is the name clients and trainers see for our appointment and client-management tools. It may store customer contact details, account credentials, booking history, selected services, trainers and locations, communications, and related service records.
Our client portal may also connect you with dog profiles and training information. Access is intended to be limited so clients see their own account and dog records, while authorized trainers and administrators access information needed for their work.
We may retain legacy booking, client, message, and transaction records in previous business systems, including PocketSuite, when reasonably necessary for service history, accounting, dispute resolution, or legal obligations. Legacy information is not treated as a new marketing list merely because it is retained.
Email and text messages
Service communications
We may use the contact information you provide to respond to you and to send messages related to an inquiry, account, booking, payment, schedule change, or training service. We may use communications providers, including Twilio for text-message delivery.
Text-message choices
If you provide a mobile number and opt in to text messages, Insight K9 may send appointment confirmations, reminders, schedule updates, account notices, requested responses, or other messages described at the point of consent. Message frequency varies. Message and data rates may apply. Consent to promotional texts is not a condition of purchasing services.
Reply STOP to opt out of text messages. For help, call (253) 374-5346 or email Ryan@InsightK9Solutions.com. We record consent and opt-out status so we can honor your choice. We do not sell, rent, or share mobile opt-in data or text-message consent with third parties for their own marketing or promotional purposes. We may disclose this information to providers that deliver messages for us, solely for that purpose, or when required by law.
Email choices
Where an email is promotional, you may use its unsubscribe link or contact us. Even after a marketing opt-out, we may still send non-promotional messages that are necessary to respond to you or administer an active account, booking, payment, or service.
Cookies, analytics, and website technologies
Our website uses cookies and related technologies for functions such as security, account sessions, booking tools, saved preferences, accessibility, performance, and analytics. We use Google Analytics or similar tools to understand general website use and improve the site.
You may manage available choices through any cookie-preference control displayed on the site and through your browser settings. Blocking some cookies may affect login, booking, portal, payment, or other site functions. Browser privacy controls and analytics opt-out tools may provide additional choices.
How we disclose information
We do not sell or rent personal information. We may disclose information only as reasonably necessary in these circumstances:
- Authorized staff and trainers: to respond to clients and provide, coordinate, and document services.
- Service providers: companies that support website hosting, scheduling and client tools, communications, email, analytics, security, invoicing, or payment processing. They receive information appropriate to the work they perform for us.
- Business and legal needs: when needed to protect people, dogs, property, accounts, or rights; investigate misuse or fraud; comply with a valid legal request; or establish, exercise, or defend legal claims.
- Business changes: in connection with a potential or completed merger, financing, sale, reorganization, or transfer of some or all business assets, subject to appropriate safeguards.
- At your direction: when you ask us to share information or clearly consent to a particular disclosure.
Public reviews, testimonials, photos, or similar content are published only with permission or at your direction.
Data retention and security
How long we keep information
We keep information for as long as reasonably needed for the purpose for which it was collected, to maintain service and training history, document agreements and the policy version accepted, honor consent and opt-out choices, meet accounting or legal requirements, resolve disputes, and protect our business and clients. Retention periods vary by the type of record and the system in which it is maintained. We may delete or de-identify information when it is no longer reasonably needed. Requests involving consumer health data are handled under our separate Consumer Health Data Privacy Policy, which controls if it provides a different right or timeline.
How we protect information
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. These may include access controls, account authentication, limited staff access, reputable service providers, backups, and secure transmission where supported. No website, storage system, or transmission method can be guaranteed completely secure.
If we identify a security incident involving personal information, we will investigate, take appropriate steps to contain and address it, and provide notice when required by applicable law.
Your choices and privacy requests
Depending on your relationship with us and applicable law, you may ask us to:
- Confirm whether we maintain personal information about you.
- Provide access to or a copy of certain information.
- Correct inaccurate contact, account, dog, booking, or service information.
- Delete certain information, subject to records we reasonably need or are legally required to retain.
- Withdraw a consent or opt out of eligible marketing communications.
You may update some information within available account or client-portal tools. For other requests, contact us using the details below. We may need to verify your identity and clarify the scope of a request before acting. We will not discriminate against you for making a good-faith privacy request.
Children’s privacy
Our website and services are not directed to children under 13, and we do not knowingly collect personal information online directly from children under 13. A parent or guardian who believes a child has provided personal information should contact us so we can review and address the situation.
Third-party services and links
Our site may link to or use tools operated by other companies, including booking, communications, analytics, mapping, accessibility, invoicing, and payment providers. Their handling of information is governed by their own terms and privacy notices. We encourage you to review those notices when you interact directly with a third-party service.
Changes to this policy
We may update this policy as our services, systems, or legal obligations change. The date at the top shows when the policy was last updated. Material changes will be communicated in a reasonable manner appropriate to the change.
